The deal is won in follow up, and follow up is where the spreadsheet fails.

Buying operations run on pipelines, research and timing. Most of the software available was built for agents listing property, which is a different business.

What we hear

The problems this environment produces.

  • Leads arrive from several channels and land in different places
  • Property research is repeated manually for every parcel
  • Underwriting happens in a spreadsheet that only one person fully understands
  • Offers go out from a template and are tracked by memory
  • Follow up is the highest value activity and the first thing dropped
  • Documents and title work live in email threads
  • Nobody can see the true state of the pipeline without rebuilding it

Who this is for

Operators rather than agents. Land buyers, real estate investment operations, acquisition teams, and anyone whose business is sourcing, evaluating and transacting on property rather than listing it for someone else.

This is a category Goldstone has direct operator context in: the founder runs a land investing business on software he built. That is operator understanding, and it is different from client proof. Both are useful; they are not the same thing and we will not present one as the other.

What usually goes wrong

  • Channel fragmentation. Direct mail responses, website enquiries, cold calling and referrals each land somewhere different, and the pipeline is assembled by hand.
  • Repeated research. The same lookups are performed for every parcel, by a person, every time.
  • Underwriting in one head. The model exists in a spreadsheet with a single author, and the business cannot scale past their attention.
  • Follow up decay. The deals are in the follow up, and follow up is manual, so it stops when things get busy. This is the expensive one.
  • Document sprawl. Offers, title, surveys and closing documents live in email, found by searching.

What Goldstone may build

  • Lead intake from every channel into one record, with the source preserved
  • Property research workflows, including the lookups that can be automated
  • Underwriting that encodes the model so it is not one person’s spreadsheet
  • Offer generation and tracking, with status that is real rather than recalled
  • Follow up sequences that keep running when everyone is busy
  • Document workflows tied to the deal rather than to an inbox
  • A pipeline view that reflects reality without weekly reconstruction

Integrations and data sources

The CRM you already use, rather than a replacement: FreedomSoft, REI Pebble, GoHighLevel and similar are common, and leads should route into the system the team already works in. Mapping and parcel data. Document signing. Accounting. Mail and calling platforms.

The deliberate position is that your CRM stays where it is. Replacing it is rarely the problem worth solving.

AI opportunities

Extracting structured data from property documents, survey PDFs and title work is a genuine use. So is classifying inbound responses, and drafting first pass correspondence for review.

Valuation judgement is not an AI problem in this context. The data is too local and the consequences of a confident wrong number are too direct.

Where ordinary automation is better

Follow up sequencing, deadline tracking, status transitions, routing by geography and every recurring report. The highest value automation in this category is almost entirely deterministic.

When custom software makes sense

When the acquisition process is your edge. Operators who win on speed and follow up discipline are describing a software problem. Operators who win on capital or relationships usually are not, and should buy a CRM and leave it alone.

For websites and lead systems specifically, see Land and Real Estate Investors.

Describe how the pipeline actually works and the preliminary plan will say which part is worth building first.

Where this usually lands

Investment context.

Focused Business System
$25,000 to $60,000
Connected Operational Platform
$60,000 to $150,000
Complex / Multi-Location / Enterprise
Custom

Most work in this category starts as business systems and grows as layers are added. Complex and enterprise implementations are custom scoped. See how the pricing works .

Looking for a website and lead system rather than an operational build? Land & Real Estate Investors covers that narrower question.

Describe what is going wrong in your own words.

You will get a preliminary plan naming the bottlenecks, the system we would build, a realistic investment range and an honest next step, including the part where we say software is not the answer.
