Operating Systems

One system around the way your business actually works.

Goldstone combines the public website with the operational software behind it: lead capture, CRM, automation, scheduling, portals, payments, reporting, AI workflows, and custom applications. Start with the modules you need now and build toward one connected operating system.

A business operating system is what you have when the website, the CRM, the follow-up, the scheduling, the portal, the invoicing and the reporting stop being seven products and start being one. Most companies arrive with several of them already, bought at different times, none of them talking to the others.

The work is rarely a rebuild. It is connecting what already works, replacing what genuinely doesn’t, and building the parts that were never bought because nothing off the shelf did the job.

A system this size is usually part custom and part licensed. Work built from scratch for you can be assigned to you; the reusable Goldstone platform components underneath it are licensed rather than sold. Which parts are which is settled before development starts — see ownership and licensing. The reusable half is Goldstone Intelligence, the shared platform these systems are built on.

Build it

Configure your build, see the number.

Start from the base and add what the business actually needs. The total and the timeline update as you go — no form to fill in first.

These are scope ranges, not guarantees. The $20,000 foundation is architecture — every layer listed below is scoped and priced separately, and the total moves as you select them. A system this size gets a real scoping conversation before anyone signs anything.

Included base

Core Operating System Foundation

The architecture a serious system is built on, and the part that cannot be skipped: workflow and system design, the shared data model, the application foundation, the core administrative structure, a role and security model matched to the scope, the integration plan, and the deployment and project foundation. It is the foundation — the website, CRM, scheduling, portal, payments, AI workflows, multi-location controls, multi-tenancy and franchise layers are all scoped separately and selected below.

Add what you need

  • Premium Public Website LayerContact for scope

The public site, built to the same standard as a standalone Goldstone website and wired into the system rather than bolted beside it — lead capture that writes straight into the CRM, and content the owner can edit. Priced from the standalone website floor, because it is the same build.

    $5,000+

  • CRM setup / migration

Your pipeline, stages, and lead routing configured properly — so every inquiry lands somewhere instead of in an inbox. Optional: if you already have a CRM you like, we integrate with it instead.

    +$3,000

  • Multi-channel automation (SMS + email)Contact for scopeHas running costs

Follow-up sequences across text and email that keep running until the lead replies. Custom quote — texting is a build, not a switch, and what it costs depends on how much conversation it carries.

Requires a messaging provider number and per-message fees both ways, plus US carrier registration (A2P 10DLC) before any business texting is allowed to send. Registration takes days to weeks and has its own fee. We handle the setup and registration, and bill the message costs with a small markup. Email-only follow-up avoids all of it.

What this takes to set up · Adds 2–4 weeks before texting can go live
    • A dedicated business phone number provisioned through a messaging provider
    • US carrier registration (A2P 10DLC) — a brand and a campaign, both reviewed before you can send
    • Published opt-in language and a working STOP/HELP reply, which carriers verify
    • A server-side workflow to receive replies and advance the sequence
    • Your CRM connected so a reply updates the lead rather than sitting in an inbox

    $4,000+

  • Reporting dashboard

One view of pipeline, source attribution, and what your marketing actually produced.

    +$2,000

  • Client / customer portalContact for scopeHas running costs

A logged-in area for your own customers — they see live progress on their job, message you, and get updates without calling. Custom quote from $5,000 depending on what they need to see and do.

Runs as its own application on hosting we provision, which carries a monthly cost. Billed with a small markup on top of the build.

What this takes to set up · Adds 3–5 weeks
    • Decide what a customer may see, and what stays internal — this is the design, and getting it wrong is a data leak
    • Sign-in for your customers, with each account seeing only its own records
    • The stages of your job, defined — the progress bar is only as honest as those
    • A place for messages and files that isn't email

    $5,000+

  • Custom AI agent / workflowContact for scopeHas running costs

An agent that handles a real job — qualifying leads, triaging inquiries, drafting the follow-up. Custom quote per agent, starting at $5,000 depending on scope.

Agents run on a dedicated server we provision and configure for you, which carries a monthly hosting cost. AI usage is billed per request by the model provider, so it scales with how much work the agent actually does. Both are billed with a small markup on top of the build.

What this takes to set up · Adds 2–3 weeks depending on the job the agent does
    • A dedicated server provisioned and configured for the agent to run on
    • Access to whatever the agent needs to read or write — CRM, inbox, calendar
    • A defined scope: one job, done reliably, beats a general assistant
    • A review period where its output is checked before it acts unsupervised

    $5,000+

  • Payments / subscriptionsHas running costs

Take one-time payments or run recurring billing, with the plumbing to handle failures and cancellations.

The payment processor takes a percentage of every transaction.

    +$3,500

  • Third-party Integration

One connection to a system you already run — accounting, inventory, dispatch, a supplier feed, a payment processor. Priced each, because the work is set by that platform's API rather than by how many you need.

    +$1,500

    per integration

    0 integrations
  • Multi-tenant architectureContact for scope

Run the same app for multiple clients under their own branding and their own separated data. Custom quote — this reshapes the whole data model, so it's much cheaper decided up front than retrofitted.

What this takes to set up · Adds 3–5 weeks
    • Decided before the build starts, not after — retrofitting tenancy is close to a rewrite
    • A branding model: how much each tenant can change
    • Per-tenant data separation verified before launch

    $10,000+

  • Multi-location ControlsContact for scope

Locations as first-class objects: per-location users, permissions, schedules, inventory and reporting, with roll-up views across all of them. What a second and third site need before anyone starts running the business out of spreadsheets again.

    $7,500+

  • Franchise / White-label LayerContact for scope

The operating layer above multi-tenancy: territory and location administration, franchisee controls, per-location branding and domains, cross-organization reporting, and royalty or billing hooks. Multi-tenant architecture is what makes this possible; it is not the same thing, and it is priced separately.

    $15,000+

  • Rush deliveryFaster delivery

Compresses the schedule by prioritising your build over other work. Charged as a percentage of the implementation subtotal rather than a flat fee, because expediting a $60,000 system costs more capacity than expediting a $20,000 one.

Past the configurator

Some work doesn't fit in a form.

The configurator handles builds we can scope from a list of modules. Above that, the work stops being a bigger version of the same thing — it's a different engagement, and it starts with figuring out what's actually being built rather than picking parts.

Systems built to be resold

Software a business sells on to franchisees or members — multi-tenant from the start, with the accounts, permissions, and billing that implies.

Multi-location and multi-site

One system, many locations or brands, sharing a spine but not a database row. Different problem from one site done well.

A full presence, not a website

When the site is one piece of a larger push and the photography, video, and campaign have to hold together with it.

Priced per engagement, after we understand the work — typically starting around $25,000, and scoped in writing before anything begins.

One thing we'll say early rather than late: a build is limited by the assets going into it. If the photography and video aren't there yet, we'll tell you that before the design, not after — it's the difference between a site that looks expensive and one that looks like it wanted to.

After launch

Build once. Keep improving every month.

Every build can end at handover — your data, content and domain are yours either way. Most don't end there, because software that nobody tends stops working long before it looks broken.

Care

$500/mo

Everything stays up, patched, backed up, and current.

A build that's finished and needs to stay healthy.

  • Hosting, domain, and SSL managed for you
  • Security patches and dependency updates
  • Daily backups, and a tested way to restore them
  • Uptime monitoring — we find out before your customers do
  • Small content changes, up to an hour a month
  • Email support, next business day

Software that isn’t maintained doesn’t stay still, it degrades. You can handle this yourself — we’ll hand over everything and show you how. Most people would rather not.

Managed

Most common

$1,500/mo

We keep building. You get hours every month and someone who knows the system.

A business that keeps changing, and a system that has to change with it.

  • Everything in Care
  • Five hours of build time every month — new pages, features, fixes, whatever it is
  • A monthly call to decide what those hours go to
  • Priority response, same business day
  • Google Business Profile kept current
  • Integrations monitored, and repaired when a third party changes something
  • Quarterly report on what shipped and what it did

Most work doesn’t end at launch. Under Care those changes become quotes; here they’re just the next thing we do.

Hours don’t roll over. A plan that banks them turns into a debt we’re both managing instead of work that gets done.

Growth Intelligence

$3,000/mo

The build stays current and the site actively works on getting found.

A business where one won job pays for the year.

  • Everything in Managed
  • One improvement shipped every week — a guide, an answer, schema, internal links
  • Written to be extractable by AI engines as well as ranked by Google — structured so an answer can be lifted cleanly, with no promise it will be
  • Monthly check of whether ChatGPT, Perplexity, and Google AI Overviews actually name you
  • Review requests drafted for you to send after each job
  • Local rank tracked from the places your customers actually search
  • A monthly number for what that traffic would have cost to buy

Plenty of people now ask an assistant who to call and take the answer. Getting named there is a different job from ranking, and neither is something anyone can promise you.

One genuinely useful improvement a week, rather than a batch of thin ones. We favour deliberate publishing over mass-generated pages because usefulness and clarity are what hold up over time — but no publishing cadence guarantees a ranking or a citation.

We don’t buy links, automate reviews, or spin up pages with the town name swapped. Those tactics trade durable authority for short-term volume, and they carry real search-quality risk.

Operating Partner

from$5,000/mo

We function as your product and systems team, without you hiring one.

A business where software is now part of how the money is made.

  • Everything in Growth Intelligence
  • A larger development allocation every month, scoped to what the business needs
  • Workflow improvements as the operation changes, not once a quarter
  • AI and automation monitored, with failures caught before they cost you
  • New dashboards and reporting when a question needs answering
  • Integrations built and maintained as your tool stack moves
  • A product roadmap kept current with where the business is going
  • Priority response
  • A systems audit every quarter

Scoped per engagement. Included hours and response times are defined in the agreement.

Plans start after launch and are quoted with the build, so the monthly number is never a surprise later. Third-party costs — hosting that scales, message fees, model usage — are billed through at cost plus a small markup and itemized.

Goldstone-owned software may also carry a separate platform license where applicable. See how build, licence and service are priced .

Questions people ask first.

What does a business operating system cost?

A Goldstone business operating system starts at $20,000, and most implementations land between $25,000 and $60,000 depending on how many workflows it covers. Multi-location and franchise systems reach $75,000 to $150,000 and beyond. The $20,000 foundation is architecture, not every module on this page. Each layer above it — website, CRM, scheduling, portal, payments, AI workflows, multi-location and franchise controls — is scoped and priced separately, and the configurator on this page shows the total move as you select them.

What do I actually get for the $20,000 foundation?

The $20,000 Core Operating System Foundation buys the architecture a serious system stands on: workflow and system design, the shared data model, the application and administrative foundation, a role and security model matched to your scope, the integration plan, and the deployment groundwork. It deliberately does not include a website, CRM, scheduling, customer portal, payments, AI workflows, multi-location controls, multi-tenancy or franchise controls. Those are the layers you select above, and each carries its own price so you can see exactly what your system costs.

Do I have to build the whole system at once?

No. A Goldstone business operating system is built from modules, so you can start with the workflow that is costing you most and add the rest as the business needs them. The foundation is designed for that from the first commit rather than retrofitted later. What matters is deciding the architecture up front. Adding a customer portal or multi-location controls to a system designed for them is straightforward; bolting them onto one that was not is usually a rebuild, which is the expensive way to discover the difference.
